    Value-Chain Grievance & Whistleblowing Procedure

Report Human Rights or Sustainability Risks and Violations in the Supply Chain of European Companies

In Europe, companies have a responsibility to ensure that their supply chains respect human rights and sustainability, as outlined in international frameworks such as the United Nations Guiding Principles on Business and Human Rights and the Sustainable Development Goals. WhiteBox is a grievance reporting platform for employees and other stakeholders to report anonymously and safely, as well as track and manage their grievances. Companies must have a complaints procedure through which internal and external persons can notify the company of human rights or environmental risks or violations in its own business operations and in the supply chain. In addition, effective grievance procedures provide access to appropriate remediation when needed. If indications or complaints of imminent or actual breaches of duty are received and confirmed, these grievances must be prevented, ended or at least minimized by the company through remedial action. The companies must then take preventive measures to prevent further violations of the same kind or to minimize the risk of such violations.

What makes a grievance procedure effective?

    How WhiteBox promotes trust ...

Enabling trust requires not only being accountable for fair processes but also visibly upholding these standards. WhiteBox helps companies keeping informative public policies which can firmly establish legitimacy and in capacity building of qualified personnel who understand the intricacies of grievances, managing conflicts of interest, and maintaining independence.

WhiteBox ensures that affected stakeholders are accurately informed with mechanism procedures and policies. The platform automatically gives standardised updates on the progress of the procedure and companies are empowered to inform reporters with details even when the reporter wants to remain anonymous through a report based chat function.

Effective grievance mechanisms provide channels for stakeholders to voice their concerns without fear of reprisal. This necessitates systems that protect the identity of those raising issues. Our secure and on-demand of the reporter anonymous platform, along with strict data handling policies, ensures that stakeholders remain anonymous.

Robust confidentiality measures enhance trust and enable stakeholders to report issues or disclose information they might otherwise hesitate to disclose. On WhiteBox, confidentiality is enforced starting with the on-boarding procedure of administrators, and further enabled with features such as anonymisation, data segregation and modular access control.

    Who administrates reports on WhiteBox?

Reports are administrated by designated staff of individual companies or by external consultants hired by these companies. In either case companies guarantee WhiteBox that the administrators utilising the platform have undergone an appropriate training and are put under obligations such as impartiality and confidentiality. Consulting firms that want to offer their services through WhiteBox have to become a certified partner.

According to the German Supply Chain Due Diligence Act, administrators of complaints procedures must be available in time, provide a guarantee of impartial action, be independent and not bound by instructions (no conflicts of interest), be obliged to maintain confidentiality, and be appropriately trained.

    Supply Chain Due Diligence Laws

According to the EU Whistleblowing Directive, administrators of whistleblowing procedures must be independent. Furthermore, companies must ensure that other (operational) tasks and duties do not lead to conflicts of interest and that they have the necessary expertise.
